About the Role:

Reporting to our Head of Property, you will be primarily responsible for completing administration and other property related tasks on behalf of the team whilst also providing support across several projects. Additionally, this role is required to work closely with the State Property Managers as well as Campus Directors to ensure projects and works are effectively coordinated in a timely manner, prioritising jobs based on child, family and team wellbeing.

Other key responsibilities will include:

Property & Maintenance – Assist State Property Managers with coordination of incoming tickets assigned to the property team during leave coverage. Assist with obtaining quotes and scheduling works with all relevant stakeholders and prioritizing works to complete assignments in a timely manner. 

Projects – Assist with the follow up for defect works for completed minor and major projects for the 12-month liability period. Assist with coordinating capital work projects and maintaining all corresponding documentation. Consult with all stakeholders so they are aware of all scheduled works to be carried out.

Quality Assurance – Assist with the development, implementation, and maintaining property policies and procedures.  Assist with ensuring all building compliance works are scheduled and completed in a timely manner.

Communication – Ensure effective communication with all stakeholders. Respond to queries in a timely manner and build relationships with key stakeholders.

Administration & Finance – Assist with expense reporting including approval and tracking of invoices and receipts for items purchased for each internal job.

About You:
To be successful in this role, you will possess the following skills and experience: 

  • Proven experience in effective administration roles with strong organisational skills.
  • Valid Driver’s License 
  • Ability to co-ordinate multiple projects at the one time 
  • Proficient in document management systems with a keen eye for detail in record-keeping.
  • Overall understanding of building maintenance is an advantage.
  • Previous experience working in a multi-site environment.
